What we store and why

You may voluntarily leave your email address to express interest in AzothOps and, if you wish, add your name, company and a message. Only email is required. Do not include passwords, sensitive data or your customers’ personal data.

At this stage, we save your contact details in the owner’s private area: we do not send confirmation emails, start campaigns or transfer form data to Zoho. The address remains unverified. Submitting the form does not subscribe you to a newsletter, authorise telephone calls or constitute consent to future marketing campaigns. Any reply to your request requires separate activation of the relevant service; we do not promise a response time.

If your request concerns a possible contract to which you would personally be a party, the legal basis is taking pre-contractual steps at your request (Article 6(1)(b) GDPR). In other cases, including contact on behalf of a company, the basis is our legitimate interest in collecting and managing voluntary correspondence (Article 6(1)(f) GDPR). These purposes do not authorise subsequent promotional messages.

Protecting the form

We record the information you enter, the type and date of the request, its unverified status and the notice version. Any attribution parameters are limited and must not contain names, email addresses or telephone numbers. We do not measure individual opens or clicks, and we do not use this data to train AI assistants or populate the RAG knowledge system.

To prevent abusive submissions, we use submission limits and Cloudflare Turnstile. This service processes technical browser signals, including IP address, TLS information, user agent and site origin. Form security is based on our legitimate interest in protecting the forms (Article 6(1)(f) GDPR). Cloudflare processes these signals on our behalf to distinguish people from bots and, as an independent controller, to improve abuse detection. Details are in the Turnstile privacy policy.

Retention and access

Unverified contacts collected during this phase are retained for a maximum of 30 days from the request, then automatically deleted. Repeated anonymous submissions do not turn a contact into a verified address or authorise marketing. Only the owner can access the contacts in the private area; there is no public list.

Backups managed directly by AzothOps are retained for a maximum of 30 days, remain separate from sending operations and are not used to reactivate withdrawn choices. Deletion may be completed when those copies expire; before restoring a backup, deletions and objections must be reapplied.

Providers

Form data is held on the AzothOps server hosted by Hetzner Online GmbH in Finland. Cloudflare provides protection and web infrastructure, including Turnstile. Zoho does not receive data submitted through this form; it is involved if you separately choose to write to our email address.

Cloudflare’s terms also provide for processing outside the European Economic Area and safeguards for relevant transfers, including standard contractual clauses. We do not promise that the entire data path remains exclusively within the EU. You can consult the Cloudflare data processing agreement or ask for information about the applicable safeguards.

Your rights

You may request access, rectification, erasure, restriction and, where applicable, data portability. You may object to processing based on legitimate interests on grounds relating to your situation. For these requests, write to ops@azothops.com: we verify only the information needed to protect you against requests from third parties. You may lodge a complaint with the Italian Data Protection Authority (Garante per la protezione dei dati personali).

Telephone calls, newsletters, payments and other services have a separate scope. AzothOps does not use data from this form for automated decisions producing legal or similarly significant effects.
